            What is the difference between Private and Public Albums?

            Private Albums can be hidden from the dropdown menu for most users and then made accessible for selected individual users or Groups. Public Albums do not have this option.

            • Placing an item in a Private Album does not make it invisible. 
            • Placing an Admin-level item in a Private Album is a way of making it visible to non-Admin users - see Media use-case below

            What is the difference between ‘Show in Search’ being set to ‘Yes’ or ‘No’

            ‘Show in Search’ being set to ‘Yes’ means the Album name will appear in the dropdown for users with appropriate privileges.

            ‘Show in Search’ being set to ‘No means the Album name will NOT appear in the dropdown for any user.

            Media Use-case:

            You have newspaper journalist registered as Media but you want to give this person a special privilege to see some images that are at Admin level.

            To achieve this, there are two options

            The first option is to add the Media person to a Private Album with ‘Show in Search’ set to ‘Yes’ and two things will change for that user:

            ·         the name of the Album will appear in the dropdown menu for that Media user

            ·         the images in that Album will appear in general keyword search results

            Alternatively you can add the Media person to a Private Album with ‘Show in Search’ set to ‘No’ and only one thing will change for that user:

            ·         the images in that Album will appear in general keyword search results

            but the name of the Album will NOT appear in the dropdown menu for that Media user

            Admin Use case:

            You want to make a temporary Album to assist with the editing process and you do not want the Album name to appear in the Album search dropdown.

            Add the items to a Private Album with ‘Show in Search’ set to ‘No’. There will be no difference for ordinary users:

            ·         the images in that Album will appear in general keyword search results per usual (according to the privileges of the user)

            ·         the name of the Album will NOT appear in the dropdown menu for any user

             

            Public Albums with ‘Show in Search’ set to ‘No’ will result in albums that do not show in the dropdown for any user.
            Users or Groups cannot be added to Public Albums.
